I have made notes in our system about this renewal action and will include this correspondence in the permit file records in our repository. To summarize the situation,the General Permit this site is under was renewed earlier than the July 2023 expiration last year(it was renewed in June), but this COC was not at the time because of owed fees.We sent letters about that in late June 2023,and fees were paid in July 2023.When you all checked the status after that,you noted the active status because the permit COC still had the original expiration date of the end of July(it had not yet passed that expiration mark). We overlooked renewing this COC under the new General Permit term, and we have corrected that today. We waited until the Name/Ownership change request had been processed by our staff so that information in the system was up to date. In 24-48-hours, please check the Permit Summary Report for this permit to confirm that status and new Owner/Name information. Bethany, 2 We sincerely appreciate the assistance. We will use the COC Renewal request but are concerned that it may appear that we did not have coverage since last July even though the late fees were paid by July 10, 2023 and we believed the facility permit was being processed for renewal. As you stated, we agree that the confusion most likely involved the very quick process from Public Notice (April 17 to May 17, 2023) and Final Issuance June 1, 2023 with an effective date of June 30, 2023 which did not coincide with the previous permit's expiration of July 31, 2023. Combine this with the fact that notices for this location were being sent to a corporate office rather than the location and it is easy to understand the overall confusion.The request for Name/Ownership request this past March was due to our realization that the invoices and notices were not being sent to the location thus leading to another instance of late fee submittals. We would ask that annotations of this discussion be placed in your in your files and we will place copies in our files for future reference. We would also ask that after issuance of the Renewal COC that the Name/Ownership request also be processed so as to avoid future incidents where notices and invoices are not sent to the location.Thanks again for your quick response and assistance and would ask that should you have questions prior to closure of this issue to please contact me. Hello, The confusion about active status here was due to the permit COC expiration in the last cycle not occurring until 7/31/2023. At the time you ran these reports,the permit was still active. Please see the info in my earlier email attached. If the fee was paid in mid-July, most likely it was not renewed was because we'd set up the renewals for the batch of permits without owed fees, and this one did not make it in the batch in time. We apologize for the oversight. When no one contacted us for a COC after the general permit was renewed,we did not realize the COC was omitted from that batch. We received notice that we had outstanding fees during renewal of the previous permit and those outstanding fees were paid July 10, 2023. We also pulled a report from your database July 10, 2023 which shows the permit as being "Active" along with the outstanding fees. Another report was pulled from your database July 18, 2023 showing the fees were paid and that the permit was still listed as "Active". It is our assertion that we fulfilled the requirements for renewal and request that the permit be placed back into Active status. Attached are copies of these documents. The Owner Affiliation change was needed to rectify a change since the fee requests were being submitted to an office that is no longer manned at levels prior to January 2021 and avoid the issues with late fees being reported but not received.Again, we request that this Affiliation Change be processed in addition to our previous request.
