Motion passed unanimously. Vice President - WW nominated JE; GG seconded the motion. Motion passed unanimously. Secretary — CM nominated EC, MD seconded the motion. Motion passed unanimously. Treasurer — JE nominated WW; MD seconded the motion. Motion passed unanimously. Discussion on voting process: email vs texting. Options: call a meeting, have a call, etc. Conclusion: use text as an alert mechanism. Talk by phone, meet in person or other appropriate approach. Presidential Report: There was no Presidential Report. Secretary's Report: EC motioned to approve the April 12, 2021 HOA Board Meeting minutes. CM seconded the motion. The motion passed unanimously. EC inquired about Annual Meeting minutes with new process via Zoom. Treasurer (WW): Financial Report sent out prior to the meeting. Discussed process for key transfer for houses at closing. Selling realtor to have keys and passes brought to closing. If not, $25 fine suggested. Conclusion: make best effort to get items returned. This process has been documented on our website. CM and EC to coordinate receipt of keys and passes to be included in welcome package. Transferred $35K from Capital account to Savings account. WW motioned to approve.4inaricia�r�&el� pril 30, 2021. Director Report: Clubhouse, Pool, & Grounds (SB): • Scott sent out committee report. • Rehabilitated the existing Wilmington Grill: New burners, igniters, tank, and deep clean. (new parts $500) • Pool and Gazebo bathrooms opened April 24, 2021. • Materials delayed. Director Report: Clubhouse. Gazebo. and Retention Ponds (CM • CM sent committee report to the board prior to meeting. • Attended the monthly stormwater committee meeting April 26, 2021. • Contract with Dragonfly Pond Works for up to $9K and I executed the contract with Dragonfly Pond Works. They will commence work in approximately 2 months. Once started, it should take 1 week to complete. Director Report: Architectural (TP): • Seiler's requested approval for landscape plan on N. 411 Avenue. • Pool continues to be an issue with home on corner of Fort Fisher and Kure Dunes Way. Director Report: Communications (JE • Set up and supported Zoom meeting for the Annual Meeting. • Significant and frequent updates made to the website. • Research and changes made to website after the election to clarify key hand off at sale closing. • --100 hours dedicated April to May. • Future Annual Meeting approach discussed. One suggestion is to have Zoom meeting and party afterward. • JE to put together risk factors for using Facebook for FICA business Welcome Committee (EC): • Officially welcomed the Martin Family. Working on dates to welcome the Ray's. Town and KB HOA Liaison (MD): • No discussion i Old Business: fir' °e tip1t • Rental Guidelines to be reevaluated in August 2021. • RV's and boats- Tom to evaluate process. New Business: • EC to provide Draft at next meeting. • Voting occurred after Zoom meeting. Votes validated with 92 votes received. New elected Directors are: Michael Davenport, Connie Mearkle, and Wick Wickliffe. • Committee alignments to be discussed next month. • Discussion on potential "poop bag" dispensers. CM to bring recommendation forward next month. • WW raised the following questions: Fences ie. How it is positioned on TP lot. Skate park in yards, trampolines — need approval? No, not a permanent structure. Adjournment MD motioned to adjourn, and CM seconded the motion. The motion passed and the meeting adjourned at 7:58PM. A preliminary in-depth review of that information has determined that the application is not complete and that additional information is needed. To continue the review, please provide the following additional information in a single, hard cony submittal package: 15A NCAC 02H.1040(1)(a) and .1042(2)(b)(ii) : The application was signed by Gregory A. Germaine; however the provided documentation from the NC Secretary of State does not identify Mr. Germaine as a president or vice-president of this corporation. Please provide official documentation showing the title held by the person who signed the application.
