ANNUAL MEETING MINUTES
APRIL 17, 2021
CALL TO ORDER /PROOF OF QUORUM:
• Roger Hendrix, President of The Peninsula at Ocean Isle Beach Property Owners Association,
called the annual meeting for the Peninsula at Ocean Isle Beach POA to order on April 17, 2021
at 10:15 at The Peninsula Club House, Ocean Isle Beach, NC
• Members present: Lockwood, Rutledge, Stocks, Hogan, Coffey, Batton, Hendrix, Gallins, Ervin,
Holland, Wilfong, Steele and Dinkins. Also present; Donna LaChance and Wanda Tate of Beach
Management.
• It was established that there was a quorum either by proxy or in attendance.
MEETING NOTICE/MINUTES/CORRECTIONS/ACCEPTANCE:
• The minutes of the April 19, 2019 annual property owner's association included in the meeting
notice, were presented to be accepted as written. No corrections or additions were needed. A
motion was made, seconded and the motion passed.
ELECTION OF THE BOARD OF DIRECTORS:
• (5) Person Board
• (2) Board Members Expiring: Roger Hendrix and Keith Batton.
• There was a motion and a second to re-elect Hendrix and Batton. Motion carried.
PRESIDENT'S REPORT
• We have had an ongoing fight with the water bills astronomical charges. Last year we found leak
below skimmer, which was repaired, and meter was replaced. Continued to have issues with
usage. Went to town and after several trips with vendors and town, it was realized that the
town had installed the incorrect meter resulting in incorrect billings. The town will be issuing us
a check for $4,000 +, due to their error.
• Pool deck was resurfaced, due to cracks. The concrete Contractor informed us of the cracks in
pool, and that in the next couple of years the pool would need to be drained and cracks
repaired.
• There is no need for COVID-19 precautions since we no longer rent properties. We will leave it
up to the owners on whether or not they want to be in the pool and common areas, amongst
other Peninsula owners.
• Our permit only allows us to have the pool open to our members from daylight to dusk. We
would need to pay for additional permitting and install stadium lighting to stay open after dusk,
therefore we cannot allow after dusk usage.
• POA events that are held after hours the property owners association will take responsibility
for.
• We will not allow any private events during pool hours, that will close the pool to others.

• The landscape growth has been cut back, areas have been power washed and paint freshened
up where needed and new bushes and pine straw installed.
• There was a recommendation from Board to have an annual assessment of $500 for the
maintenance of pool and roads. We had roads patched and sealed last year and will hold off
doing anything additional until the current construction is completed.
BEACH MANAGEMENT'S REPORT:
• We had (7) new property owners this year.
• The finances for the year of 2020 vs. the 2020 budget was presented and discussed.
• The 2021 budget was presented and discussed. Motion to accept, at BOD meeting.
• The dues will remain the same for the upcoming year.
• The 911 phone bill will go from around $50 to around $30, due to the newly acquired fiber
wiring.
OLD BUSINESS:
• There Is no longer any need for the cameras.
• If there is a future issue of trespassing, we may want to also look into a fence on the causeway
side and an additional gate to get to the pool.
NEW BUSINESS:
• There was an exploratory motion to discuss installing a shaded area where the kiddie pool once
stood. We will propose different options of temporary and permanent structures. Once quotes
have been received there will be an electronic vote on whether to proceed.
• Request was given to install additional trespassing signs along with getting under surveillance
signs.
• Request to provide each property owner with laminated cards, to take to pool, to show
ownership.
• Due to all the construction the sprinklers will need attention.
• FYI, if power goes out to The Peninsula, the gates automatically open.
ADJOURNMENT:
• Thanks to the Board for what you do. We appreciate such a great turn out.
• There was no other business to discuss so there was a motion to adjourn at 11:30 a.m.

State Stormwater Management Permit #SW8 060609 for the subject project expired on July 17, 2020. This is a
reminder that permit renewal applications are due 180 days prior to their expiration per 15A NCAC 2H.1045(3).
North Carolina General Statutes and the Coastal Stormwater rules require that this property be covered under a
stormwater permit. Failure to maintain a permit subjects the owner to assessment of civil penalties.
Please submit a complete permit renewal form along with a $505.00 fee and other submittal requirements within
30 days. The permit renewal form can be found on our website at: https://deq.nc.izov/about/divisions/enerev-

review that a designers certification that the project was constructed in accordance with the approved plans as
required by the permit has not been submitted. Please include this with your application.
