Background:
In 2023, staff turnover at the Town of Wake Forest led to missed deadline for the FY2022/2023
Annual MS4 Report. Additional circumstances and a path forward follow.
Details:
Following staff turnover related to the MS4 program, duties were reassigned in the Engineering
Department. Staff then began to research the annual reporting process. During the research
stage for the annual report, it came to light the deadline had been missed. Upon discovery, the
Town contacted NCDEQ to communicate the oversight and understand next steps.
Staff has ensured that the report is accurate through collaboration across all participants of the
MS4 program at the Town and has implemented an internal QA/QC review prior to submission.
The FY2022/2023 MS4 Annual report is being submitted on October 27, 2023.
Path Forward:
Recognizing the critical importance of maintaining compliance with reporting processes and
deadlines, the Town is implementing proactive measures to prevent future delays. Reporting
deadlines and duties will be shared across multiple employees within the Department. This
collaborative approach ensures a more robust system, guarding against potential disruptions
resulting from team departures. Furthermore, we have instituted a system of calendar alerts to
serve as reminders for upcoming submittals, enhancing our organizational preparedness.
We apologize for any inconvenience caused by the tardiness of our submission and appreciate
your understanding of the circumstances at hand. Rest assured, the Town of Wake Forest is
committed to upholding the highest standards of environmental compliance, and we are
confident that our revised procedures will prevent such oversights in the future.
